How VANZ Adventures handles your personal data. Plain English, no legalese jargon where we can help it.

Who we are

VANZ Adventures is a campervan-conversion business based in the UK. When you book a measure-up, order from our shop, or contact us through this website, we act as the data controller for your personal data - meaning we decide what's collected and what happens with it.

What we collect (and when)

We only collect personal data you give us directly. Specifically:

When you book a measure-up appointment

  • Your name
  • Your email address
  • Your phone number
  • Your van make, size, year, and drivetrain
  • Any notes you choose to add about your build

When you place an order

  • Your name, email address, and phone number
  • Your billing address and payment-card details - these go directly to Stripe, our payment processor. We never see your full card number; Stripe gives us only a non-sensitive token plus the last four digits for reference.
  • The products and configuration options you ordered

Other interactions

  • If you email or phone us, we keep a record of the conversation in case we need to refer back to it.
  • If you leave a Google review, that's a public review on Google's platform - we display it on our reviews page using the Google Places API. We don't store your data; we just read it from Google.

We do not collect any special-category data (e.g. health, ethnicity, biometric). We don't run analytics, advertising pixels, or any third-party tracking on the website.

Why we collect it (our lawful basis)

Under UK GDPR we have to tell you the legal reason we're allowed to use your data. For each thing we do, it's one of these:

Measure-up bookings
Performance of a contract - we need your contact details to confirm the appointment, send reminders, and find your van on the day.
Processing your order
Performance of a contract - we need your details to take payment, build your products, and arrange collection or delivery.
Sending appointment / order emails
Performance of a contract - these are transactional emails (confirmations, reminders, collection notices), not marketing.
Following up on quotes and enquiries
Legitimate interests - we can reach out if you started a booking or asked for a quote and didn't complete it, because you'd reasonably expect us to.
Keeping accounting records
Legal obligation - HMRC requires us to keep order, invoice, and payment records for six years.

Who we share your data with

We don't sell your data, and we don't share it with anyone for their own marketing. We do use a handful of trusted suppliers ("data processors") to actually run the business. They only get the data they need, and only use it on our instructions.

Cloudflare
Hosts the website and database. UK & global infrastructure.
Stripe
Processes card payments. Receives name, email, phone, billing address, and card details directly from the checkout form. Stripe is based in Ireland/USA - covered by Standard Contractual Clauses for any data leaving the UK.
Resend
Sends our transactional emails (booking confirmations, order updates). Receives your name and email address. US-based - covered by SCCs.
Google
Provides the Maps embed on our contact page and the Reviews API on our reviews page. Doesn't receive your personal data from us. US-based - covered by SCCs.
VL Haulage
Our delivery partner. Receives your name, delivery address, and phone if we're shipping rather than you collecting in person. UK-based.
Our accountant
Receives sales records as required for bookkeeping and HMRC compliance. UK-based.

How long we keep your data

Booking and order records
Six years from the date of the order. This is the standard HMRC retention period for financial records.
Enquiries that don't convert to a booking
Up to two years, in case you come back and we can pick up where we left off. Tell us to delete it sooner if you want.
Email correspondence
Two years, then deleted unless it relates to a live order.
Cancelled or "no-show" appointments
Six months, then anonymised.

Cookies and similar technologies

We don't use any tracking cookies, advertising pixels, or third-party analytics. The website uses a small amount of browser storage that's strictly necessary for it to work:

Cart contents
Stored in your browser (localStorage) so the items you add stay there if you refresh or close the tab.
Selected van
Stored in your browser (sessionStorage) so we can show you van-specific products and prices. Cleared when you close the browser.
Cookie-notice dismissal
Once you click "Got it" on the cookie notice, we remember it so the notice doesn't pop up again on your next visit.
Stripe
When you reach the payment page, Stripe sets its own cookies for fraud prevention. These are essential for taking payment securely.

Under UK PECR, "strictly necessary" cookies and similar technologies don't require consent. We don't use any others. You can clear them at any time in your browser settings.

Sending your data outside the UK

Some of our suppliers (Stripe, Resend, Google, Cloudflare) operate globally, so your data may be processed outside the UK - usually in the European Economic Area or the United States. We rely on the UK government's adequacy decisions (for the EEA) and the International Data Transfer Agreement / Standard Contractual Clauses (for the US and elsewhere) to make sure your data is properly protected.

Your rights

Under UK GDPR you have the right to:

  • See your data - request a copy of what we hold about you.
  • Correct it - if anything is wrong or out of date.
  • Delete it - ask us to erase your data. We can usually do this, but some records (like financial records HMRC requires us to keep) we have to retain - in that case we'll anonymise rather than delete.
  • Restrict or object to how we're using your data.
  • Get a copy of your data in a portable format (e.g. JSON) to take elsewhere.

To exercise any of these, email us at team@vanzadventures.co.uk. We may ask you to verify who you are first (so someone else can't access your data). We'll respond within one month, as required by law - in most cases much sooner.

If you're not happy with how we've handled your data

Please talk to us first - email team@vanzadventures.co.uk and we'll do our best to put it right. If you'd rather take it to the regulator, you can complain to the UK Information Commissioner's Office at ico.org.uk/concerns.

Children

Our products and services are aimed at adult customers buying commercial van conversions. We don't knowingly collect data from anyone under 16. If you think we have, please email us and we'll delete it.

Changes to this policy

If we change anything material, we'll update the date below and - for significant changes - give you a heads-up by email if we have one for you. Day-to-day editorial changes (typo fixes, clearer wording) won't trigger a notice.
